Vemoye Foundation (“Vemoye”, “we”, “us”) is a UK-registered charity supporting the education ecosystem in Nigeria. This Privacy Policy explains how we collect, use, store and share personal information across the Vemoye website (vemoyefoundation.org), the Vemoye Network member portal, application forms, events and email communications. We only collect the personal information necessary to operate the Vemoye Network and support organisations working in the Nigerian education ecosystem. The categories of information we hold are described below.
When an organisation applies to Vemoye for support, we collect the organisation name, contact person’s name and role, contact email, phone number, website and social links, partnership type, focus areas and any additional context provided in the free-text message. This information is used solely to assess eligibility, plan support and communicate about the application.
When someone applies to join the Vemoye Network, we collect first name, last name, email, phone (optional), country of residence, LinkedIn URL (optional), source of referral, most relevant job title, years of experience, industry, areas of expertise, motivation to join, confirmation of the volunteering commitment and confirmation of agreement to the Terms & Conditions and Privacy Policy.
When an application is approved and activated, we create a member account associated with the applicant’s email address, together with an encrypted password. We record activation date, last login date, contact phone number and any account changes the member subsequently makes. Passwords are stored using industry-standard bcrypt hashing and are never accessible to Vemoye staff in readable form.
Members choose the professional information they wish to share with the Vemoye Network. This may include display name, professional headline, organisation/company, industry, areas of expertise, short bio, location, LinkedIn URL and topics of conversation the member is open to. Members can update or delete their profile information at any time from the member portal.
Members choose whether to appear in the Vemoye Network Member Directory. Directory participation is reciprocal: opting out of the Directory means a member’s profile is no longer visible to other members and they in turn lose access to the Directory and messaging. Directory data remains in place while a member is opted-out so that their information can be reinstated if they later opt back in.
Where a member uploads a profile photograph, that image is stored securely and displayed only within the Vemoye Network member portal to other approved and Directory-participating members. Members can replace or remove their profile photograph at any time.
The Vemoye Network provides a private in-portal messaging feature. Messages are stored in our database so that members can access their history. Vemoye does not read routine member-to-member correspondence but reserves the right to review messages where there is a credible concern about safeguarding, abuse or violation of the Terms & Conditions. Email addresses are never revealed to other members through the messaging feature.
When members reserve a place at a Vemoye webinar or event, we record the registration, timestamp, current state (confirmed, waitlisted, offered or released) and their name and email for the purposes of managing attendance and sending calendar invitations. Registrations may be shared with speakers only in aggregate form (for example “47 registered”) unless the member has agreed to be introduced individually.
In due course, members will be able to apply their skills to short-term projects with Vemoye-supported organisations. Where this feature is enabled, we will store the project applied for, the member’s expression of interest and any admin notes relating to selection. This information will only be shared with the receiving organisation once a member has been selected and consented to the introduction.
We send transactional emails necessary for the Vemoye Network to operate: application acknowledgements, account activation invitations, password reset links, event confirmations, calendar invitations, message notifications and admin decisions on applications. We do not sell or share your email address with third parties.
Our website uses only the cookies strictly necessary to keep members signed in and to remember essential user preferences. We do not use marketing or advertising cookies. Where limited analytics are used to understand aggregate traffic patterns, this data is anonymised and cannot be linked back to individual visitors.
Personal information is used only to operate the Vemoye Network and deliver the charitable purposes of Vemoye Foundation. This includes assessing applications, activating and managing member accounts, delivering webinars and events, facilitating messaging, matching members to organisations for future volunteering opportunities, communicating with applicants and members, and safeguarding the community.
Data is stored in secure, access-controlled databases operated by reputable cloud infrastructure providers. Uploaded files, including profile photographs, are stored in the same secured environment. Backups are encrypted at rest.
We do not sell personal information. We share information only where necessary to operate the network, comply with legal obligations, or where a member has given specific consent (for example, agreeing to be introduced to a Vemoye-supported organisation). Where information is shared internally, only staff and trusted volunteers with a genuine operational need have access.
We use trusted third-party service providers to operate the platform, including a transactional email provider (Resend) for sending activation, reset and notification emails, and cloud infrastructure providers for hosting the website and database. Each provider is bound by data-processing terms consistent with UK GDPR standards.
Application data is retained for as long as an application is being considered and, if approved, for as long as the member account remains active. Members may request deletion of their account and associated profile information at any time. Waitlisted applications submitted during the pre-launch period will be retained until Vemoye begins formal reviews or the applicant asks us to delete their submission.
Passwords are stored using bcrypt hashing. All API traffic uses HTTPS. Access to admin functionality is protected by authenticated tokens and role-based checks. We periodically review our security posture and take reasonable steps to protect personal information from loss, misuse or unauthorised access.
Under UK data protection law, you have the right to access, correct or delete the personal information we hold about you, to restrict or object to certain processing, to withdraw consent where processing is based on consent, and to lodge a complaint with the UK Information Commissioner’s Office (ICO).
To exercise your rights, please email hello@vemoyefoundation.org from the email address associated with your record. We will respond within one month of a verified request.
Where processing is based on your consent (for example, opting into the Member Directory), you may withdraw that consent at any time from within your member profile or by emailing us. Withdrawal will not affect the lawfulness of any processing carried out before you withdrew consent.
We may update this Privacy Policy from time to time. Where changes are material, we will notify affected members by email and/or within the member portal before the changes take effect.
